Featuring insight from Paul Mallan, Managing Director of Berkeley Scott.
Berkeley Scott is one of the best known hospitality recruitment firms in the UK and part of the Kellan Group. The business runs a large volume temp operation across hundreds of client sites each day and relies on Temp Organiser by Enrolpay to support every part of that workflow.
They first adopted the system in the late 2000’s when their scheduling was still largely paper based. Enrolpay built the original digital version to match their way of working. The relationship has continued for more than fifteen years and the platform remains central to their temp and back office operations.
Berkeley Scott recruit for hotels, restaurants, contract caterers, stadiums, event venues and corporate hospitality across seven regions. They post several thousand roles per year and often need to fill large numbers of shifts at short notice. During the pandemic they also ran a healthcare arm and used the same system to manage those more complex shifts and compliance requirements. They need technology that is practical, robust and able to cope with variation across hospitality and healthcare.
Who are Enrolpay?
Enrolpay provide Temp Organiser, a scheduling, timesheet and invoicing system designed for temp heavy recruitment businesses. They also provide a full payroll engine which Berkeley Scott already use for their own internal payroll. The combination of scheduling, compliance, worker app and optional payroll allows agencies to manage a complete front to back temp workflow within one ecosystem.
Why did Berkeley Scott chose Enrolpay?
"The early version of Temp Organiser was built around Berkeley Scott’s real workflow. It replaced the old red paper books that consultants had relied on for years. The partnership continued because the system suited how our business actually operated."
Paul Mallan summed this up....
“They built it for us. We have been with them since about 2008. You do not stay that long unless the product works.”Temp Organiser now covers the entire temp process.
Consultants create shifts, manage rates, send offers to workers, confirm bookings, collect timesheets and run invoicing from the same place.
A major benefit is the speed of filling large bookings. Consultants can send shift offers to relevant workers through the app and email. Workers accept or decline instantly and confirmations go out automatically. This reduces heavy calling and long email chains and gives immediate visibility of who is booked."
Compliance controls are built in. Right to work rules prevent non compliant bookings. Student visa limits are enforced by the system. Clients can block workers and document rules can be set per client, which is essential for NHS and healthcare work.
Paul explained:
“If you do not have right to work the system will not allow you to be booked. If a student has reached their hours it blocks them as well. It keeps us safe.”
Temp Organiser also handled healthcare during covid.
“We used it in healthcare and it worked fine. You just have to structure the shifts correctly.”
Rate management is strong across hospitality and healthcare and supports multiple rate structures, enhanced hours and split shifts. Timesheets can be collected through manual entry, QR codes, app based check in or geofencing depending on the client. Invoicing is straightforward and benefits from having everything stored centrally.
Berkeley Scott already use Enrolpay payroll for their internal team. They are considering moving their temp payroll across as well, which would place payslips inside the worker app and reduce their overall payroll workload.
Paul put it simply:
“Using Enrolpay for temp payroll would streamline the workflow and give workers direct access to their payslips in the same app they already use.”
Why the partnership works - The long term relationship rests on three things
Practical workflow support that fits hospitality and healthcare:
Consistent development when the business needs changes
A commercial model that avoids heavy annual uplifts and complex licence negotiations
In Conclusion
Berkeley Scott remain with Enrolpay because the platform suits the reality of their work. It allows them to manage high volume shift based staffing with strong compliance and a simple path from shift to invoice. The long partnership reflects stability and a system that delivers what the business needs.
